This is Luna Holistic Therapies privacy policy. This privacy policy explains how personal information collected about you is kept and why it is collected.

Luna Holistic Therapies understands that your personal information and privacy is important to you. All Personal and Sensitive Personal Data will be treated with equal care. Both categories will be equally referred to as Personal Data in this policy, unless specifically stated otherwise.

Every effort is made to ensure that the information you share is recorded accurately, retained securely and used only according to your wishes. Your personal information is protected and we adhere to all current Data Protection Act legislation with respect to protecting privacy. Luna Holistic Therapies does not give out, sell or trade mailing list data with external organisations. Luna Holistic Therapies complies with the Data Protection Act 1998, the Privacy and Electronic Communications Regulations (PECR) and the new General Data Protection Regulations (GDPR) 2018.

What information is needed?

Personal information is collected on a client health form including your contact details, your name, phone number, email address, address and postcode. Information about your age (date of birth) and health is needed in order for a treatment to go ahead. We hold this data under the lawful basis of legitimate interest.

Due to the nature of the services provided by Luna Holistic Therapies, there is regular and active exchange of personal data between therapist and client at all treatment appointments. All information gathered by Luna Holistic Therapies is kept strictly confidential and never shared with a third party.

When we ask you to provide your personal information we will let you know why we are asking, and how we will use your personal data, by directing you towards this privacy notice. We collect some personal data for insurance reasons and to get to know you a little better so that we can best support you through treatments.

Data held may be used to send you information by post, telephone or electronic means. These types of communications can include:
• News and updates about Luna Holistic Therapies via e-newsletters
• Informing you of products, services or events related to Luna Holistic Therapies; such as new treatments, special offers or social events
• Other relevant communications

Why do I need it? Will I use it? How long will I retain it?

Luna Holistic Therapies needs all the details above in order to ensure it is safe to provide a therapy treatment you may ask for and for insurance purposes. Your client health form (in written paper format) and personal information is stored in a locked file. There are no electronic versions of your client health form. Any email correspondence, SMS or Facebook messages containing personal data are password protected and
secure. Your information will be stored for 7 years after the date of your last treatment or for 7 years after you have reached the age of 18, if you are/were under 18 when your treatment took place. The lawful basis for processing this personal information is contract, this means we have a legal reason to ask you for your data because it is needed for contractual reasons.

You do not have to share your personal data with us, but if you do not then we cannot offer you a treatment with Luna Holistic Therapies. You must fulfil your request for completing a client health form (share your personal information) in order for us to fulfil ours (carry out a treatment).

We want to make sure that your personal information is accurate and up-to-date. You may ask us to correct or remove information you think is inaccurate. If you wish to exercise any of your rights, as listed below by emailing or writing to:

Will I share your information?

Luna Holistic Therapies will not share any of your information. For certain medical conditions, Luna Holistic Therapies will request medical consent from a client’s GP or Medical Consultant to gain permission to carry out treatments. Once this is received this will be stored securely with a clients health form and treatment records.

Third party links

Your data is not sold to any third parties. You may find links to third parties (e.g. local businesses) on the website http://www.lunaholistictherapies.co.uk but please note that
we are not responsible for your privacy once you have left our website. These websites should have their own privacy policies, which you should check.

Mailing List

We use a third party provider MailChimp to deliver e-newsletters. MailChimp software is used to help gather statistics on opening rates and clicks on links, which help us monitor and improve our communications. Individuals can unsubscribe at any time from
e-newsletters by clicking the unsubscribe link on each e-newsletter. You can view MailChimp’s privacy notice here.

Website Analytics

When you visit www.lunaholistictherapies.co.uk we can use Analytics to collect statistical data and details of general visitor patterns which tell us which parts of our website visitors use most often. We do not store information about you using cookies (files which are collected from your computer or other access device) however we may collect your device’s IP address as part of our Google Analytics. We do not make any
attempts to find out the identities of individuals visiting our website.

Complaints

You have the right to lodge a complaint with the Information Commissioners Office (ICO) if you believe your data has been processed in a way that does not comply with data protection. You can do so by calling the ICO helpline on 0303 123 1113 or via their website.

Payment Information

We do not hold any financial information about you, but you and your PayPal address (if you use PayPal to pay for your treatments) is saved for our yearly accounting. Our accounts will store your name and how much you paid. We will hold onto this information for 7 years. We do our own accounts so no information is shared with accountants and neither is it sent to HM Revenue & Customs (unless we get inspected).

COVID19 – If situation of a COVID19 infection arises, we will inform Test and Trace of contact details.
