COVID 19

1. Complete a Covid19 Risk Assessment e-form must be completed 24 hours before your appointment – this declaration will cover all your future appointments going forward (it is no longer a new Covid 19 e-form for each and every appointment).

2. If you are a new client (or haven’t been for an appointment in over one year) you will also need to complete a new client health consultation e-form (ensure you complete the correct form for either beauty therapies or complementary/holistic therapies) for links click here.

3. Please read and familiarise yourself with the COVID19 Policy below before your appointment.

COVID-19 Secure Workplace Policy

This policy outlines some of the key measures taken to reduce the risk of spreading Coronavirus (COVID-19).

Adhering to Guidelines

Throughout the pandemic, regarding safe and hygienic practices and the use of personal protective equipment (PPE) we will be following Close Contact Services guidelines issued by the government, the Health & Safety Executive (HSE), the NHS, other relevant authorities and any Professional Association we currently subscribe to.

COVID-19 Risk Assessment

We have carried out a full risk assessment, in line with guidance from the Health and Safety Executive (HSE) in order to:

  • Identify what work activity or situations might cause transmission of the virus
  • Think about who could be at risk
  • Decide how likely it is that someone could be exposed
  • Act to remove the activity or situation, or where not possible, control the risk.

Health Screening

Prior to seeing clients in person, your Therapist will be:

  • Monitoring their own health and deferring treatments if they have COVID-19 or symptoms of COVID-19.
  • Contacting clients in advance of their treatment for COVID-19 screening and deferring treatments if 
    • they have COVID-19 or symptoms of COVID-19;
    • anyone in their household has COVID-19 or symptoms of COVID-19;
    • they have been in close contact with someone who has symptoms of COVID-19 in the past 10 days;
    • they have been contacted by the NHS Test and Trace Service and told to self-isolate
    • if they have received any vaccination within 48 hours prior to their appointment. If you have a history of blood clots or take blood thinner medication then we advise you wait 7 days before a treatment if you had the Oxford-AstraZenica vaccine.
  • Checking whether clients are ‘clinically extremely vulnerable’ but not currently shielding – these can be treated in person using recommended Government Guidance for PPE however preference to hands-off treatments such as Gentle Release Therapy, Reiki and Deep Relaxation/Guided Meditation treatments is advised.  If clients prefer a hands-on treatment, it is considered best practice to seek consent (written or verbal) from the medical professional responsible for their health including GP/Consultant/Nurse.  If consent is verbal, the client is required to email or text message/other digital means that they have gained consent. 
  • Asking clients to call and cancel to defer treatment on the morning of their appointment if they have a temperature or other symptoms of COVID-19, or have been in contact with anyone else who has.
  • Screening any client who has previously had COVID-19 to check if they are experiencing post COVID-19 complications, if so then consent (written or verbal) from the medical professional responsible for your health is required, this can be a GP/Consultant/Nurse.  If you have fully recovered and have no ongoing health issues from COVID-19 then treatment can continue.

Enhanced cleaning and hygiene measures

We have introduced enhanced cleaning and hygiene measures between clients, which includes washing and disinfecting any non-porous surfaces and therapy equipment, such as chairs and couches, and replacing any porous or single-use items, such as towels, pillow cases and couch covers and using PVC coverings. Strict personal hygiene measures will also be adhered to, including regular handwashing/ sanitising.  20-30 minutes between each client is left to allow the room to ventilate and for the room to be cleaned. Where possible we will leave the door and windows to the treatment room open to allow fresh air to circulate. There is no longer any waiting area and this is not needed due to the 20-30 minute changeover time.  Therapists clothing will be clean and changed if necessary, between clients.  A cleaning checklist will be adhered to and is available to show when cleaning has taken place. Waste will be disposed of within government guidelines. Laundry will be processed within government guidelines.

Personal Protective Equipment (PPE)

Therapists will be wearing a PPE in accordance with current Government Guidelines (this can include a visor, apron, gloves and Type IIR face mask).  Therapists will also be wearing gloves if you fall within the governments ‘clinically extremely vulnerable’ list, however any client can request for their treatment to be carried out with gloves.  Please do not be concerned about the use of gloves, it will not affect your treatment.  This is to provide the highest level of PPE for therapist and client. All clients must wear a face covering throughout their visit if they are able to do so. If you find you need to sneeze, please either sneeze into your mask or ask for a tissue that can then be disposed of in the correct manner. 

Adapting or restricting treatments

It may be necessary to adapt or restrict certain treatments, in order to reduce the risk of spreading COVID-19 and/or protect clients health and safety.  This will change depending on current Government Guidance and how the Virus changes over time. Any clients likely to be impacted will be advised as soon as possible.  The treatment room at Luna Beauty & Holistic Therapies has excellent ventilation with two windows and two doors.

Maintaining social distancing

Please note that while many treatments involve close contact, your Therapist will be observing social distancing measures wherever possible. This includes, for example, maintaining an appropriate distance when the client arrives for and leaves an appointment.

A COVID-19 Symptom Check/Client Risk Assessment will be completed before your appointment and this declaration asks you to continue to inform Luna Beauty & Holistic Therapies of any changes for future appointments going forward.

All clients you will be asked to update us of any new health/medical information at the start of any appointment.  This will consider whether it is safe for both the therapist and client to continue with the planned treatment. By limiting our time in the treatment room together it will reduce our risk.

Cancellations policy

If a treatment is cancelled or deferred at short notice because a client or a contact of theirs has COVID-19 or has symptoms of COVID-19, any standard cancellation fees will be waivered. The client will be asked to kindly confirm this in writing.  Otherwise, standard cancellation fees apply to any other cancellation within 24 hours of your appointment.

Client requirements

As a client you will be required to:

  1. Make time to speak with your Therapist or fill out e-forms prior to your treatment to complete the Covid-19 Symptom Check/Client Risk Assessment and advise of any health/medical updates.   For new first-time clients then your initial health/medical consultation will also be completed before your treatment to limit our face-to-face time. 
  2. On arrival your Therapist will ask if anything has changed since your risk assessment declaration, in terms of you and your families health or notifications about contact with the virus.
  3. Wash or sanitise your hands on arrival and departure.
  4. Bring and wear your own face covering if you are able to.  If you don’t have one, we will supply you with one to wear throughout your treatment.
  5. Avoid touching surfaces unnecessarily.
  6. We are now permitted to provide refreshments, however do bring your own water bottle if you prefer.
  7. Inform your Therapist if you develop symptoms of COVID-19 in the 10 days following your treatment.  Should this situation arise we will inform NHS Test and Trace Service. 
  8. Bring correct cash where possible to eliminate the need to give out change or make payment by Bank Transfer prior to your appointment.
  9. When the treatment is over, please leave all linens or couch roll untouched on the couch and try not to touch anything as you leave.  Please keep your face covering on until you exit the premises.
